How to Set Up a Printer or Scanner?
Common Windows and Mac Printer & Scanner Setup Problems — and What to Do
Having trouble setting up a printer or scanner on your Windows PC or Mac?
A printer or scanner may be detected correctly but still fail to print, scan, connect over Wi-Fi or produce the expected results. The problem may be caused by drivers, network settings, USB connections, print queues, software or the device itself.
The first step is to identify exactly what is not working.
What Does a Printer or Scanner Setup Problem Actually Mean?
The printer is not detected
Windows or Mac cannot find the printer when you try to add it
May indicate a USB connection, Wi-Fi, network discovery, driver or printer configuration problem
The printer is detected but will not print
The printer appears in the system, but documents remain in the queue or nothing comes out
Possible offline status, print queue, driver, connection or printer hardware issue
The printer prints blank or poor-quality pages
The printer feeds paper but produces blank, faded or incomplete pages
May be caused by empty or blocked ink/toner, clogged print heads, incorrect settings or hardware problems
The scanner is not detected
Scanning software cannot find the scanner even though the device is connected
Possible driver, USB, network, scanner software or permission problem
The printer keeps disconnecting from Wi-Fi
The printer works sometimes but disappears from the network or goes offline
May indicate weak Wi-Fi, network configuration, power-saving behaviour or router compatibility issues
Printing works but scanning does not
The printer can print normally, but the scanner cannot be used
Printing and scanning can use different drivers or software, so one function may work while the other fails
It works on one computer but not another
The same printer or scanner works on one computer but cannot be used on another
This usually points to a computer-specific driver, software, network or configuration issue
Common Causes of Printer and Scanner Setup Problems
- Missing or incorrect drivers — Windows or macOS may need the correct printer or scanner driver and software.
- Wi-Fi or network configuration — A printer can lose its connection because of weak Wi-Fi, changed network settings or router configuration.
- USB connection problems — A faulty cable, USB port or connection can prevent the computer from detecting the device reliably.
- Offline or paused printer — The printer may be selected but Windows or macOS may show it as offline or paused.
- Stuck print queue — A failed print job can prevent later documents from printing.
- Scanner software problems — Printing software and scanning software are not always the same, so scanning can fail separately.
- Ink, toner or print-head problems — A printer may appear to work normally while producing blank, faded or incomplete pages.
- Printer or scanner hardware faults — Internal hardware problems can prevent reliable printing or scanning even when the device is detected.
What to Do When Your Printer or Scanner Does Not Work?
On Windows
Including Windows 7, Windows 10 and Windows 11, whether running on a Desktop PC, Laptop, All-in-one Computer or Tablet.
Try these steps before replacing the printer or scanner:
1. Check the basics- Make sure the printer or scanner is powered on.
- Check the USB cable or confirm that the device is connected to the correct Wi-Fi network.
- Check the printer display for error messages, paper jams or low ink/toner.
- Open Settings → Bluetooth & devices → Printers & scanners.
- Confirm that the correct printer is installed and selected.
- Check that the printer is not offline and clear any stuck print jobs.
- Use the printer manufacturer's current driver or support software where appropriate.
- If printing works but scanning does not, check the scanner-specific software.
- If possible, test USB instead of Wi-Fi, or test the device on another computer.
- This can help determine whether the problem is with the printer or with Windows.
On a Mac
Including recent macOS versions, whether running on a MacBook, iMac, Mac mini, Mac Studio or other Mac computer.
Try these steps before replacing the printer or scanner:
1. Check the basics- Make sure the printer or scanner is powered on.
- Check the USB connection or confirm that the device is connected to the correct Wi-Fi network.
- Check the printer display for error messages, paper jams or low ink/toner.
- Open System Settings → Printers & Scanners.
- Confirm that the correct device is added and available.
- Remove and re-add the printer if the configuration appears damaged.
- Install the appropriate software or driver supplied by the printer manufacturer when required.
- If printing works but scanning does not, check the scanner software separately.
- If possible, test USB instead of Wi-Fi, or test the device on another computer.
- This helps identify whether the problem is with the printer/scanner or the Mac.
When Should You Stop Troubleshooting?
- The printer or scanner repeatedly disappears from the computer or network.
- The device shows hardware errors, unusual noises or other signs of mechanical failure.
- Print-head cleaning or other normal maintenance does not restore printing quality.
- The printer works on one computer but repeated driver and configuration checks do not solve the problem on another.
- You are unsure whether a driver, network setting or hardware fault is causing the problem.
